Illustrative family record
An example Life File.
What exists, where to find it and what still needs attention.
This uses the family from the illustrative Wealth Map. Document locations, contacts, deadlines and walkthrough outcomes below are invented additions to demonstrate the Life File component. The index is an example extract, not a legal opinion or confirmation that arrangements are suitable.
Illustrative example · All people, locations and actions are fictional.
Start here.
The record helps a chosen person find information and the right professional. It does not authorise them to access private accounts or transact.
Temporary unavailability
Use only information and permissions already agreed. Find the relevant contact and the household payment record. Do not use another person’s banking credentials.
Loss of capacity
Contact the relevant healthcare practitioner and legal adviser. Confirm who can act and under what authority; do not assume an existing financial power of attorney remains effective.
After a death
Locate the original will and contact the nominated executor or estate professional. Appointment and authority must be established before dealing with estate assets. Ask promptly about reporting requirements.
For Alex’s information: Jamie is the first contact for the limited information Alex has agreed to share. For Jamie’s information: Alex is the proposed first contact; her sharing choices are still to be agreed. Proposed fallback: Sam, their adult child; scope and access remain unconfirmed.
Locator: family folder, Start here tab. A separate contact card is intended for the fallback helper; it has not yet been provided.
Important open point: the family has cash today, but the amount the survivor could lawfully access after death is unconfirmed.
Records and actions.
Each entry separates the location from what has been established and the next action. A located copy can still leave the original, current version or legal position unconfirmed. Select a record to see the detail.

Could someone else use it?
The walkthrough checks whether the chosen person can find essential information without relying on the person who assembled the file. It can be used by an individual with a trusted person or by a couple. If no fallback is agreed, keep that visible as an open item. Household agreement does not grant access to underlying trust, company or healthcare records; the relevant permissions still apply.
Fictional walkthrough outcome
Located, with Alex’s agreement: Jamie finds Alex’s will copy and the policy contact card without prompting. This does not settle the original will’s location or the current policy terms.
Still unresolved: Jamie cannot locate the essential payment schedule. Alex will identify and explain it by 18 September 2026.
Fallback not yet checked: Sam is unavailable for the walkthrough. Alex and Jamie will agree the information to share and arrange a separate walkthrough by 22 September 2026. Until then, fallback access remains unconfirmed.
If a record cannot be found or a helper cannot participate, retain the unresolved status and agree a revised next step and date.
Keeping the record current.
Alex and Jamie retain the index and update it when circumstances change. Their next planned check is 8 September 2027, with earlier updates after a significant family, financial, health or business change.
- Check versions and original locations; identify new or closed accounts and changed contacts.
- Revisit beneficiary records and changed family responsibilities with the relevant provider or specialist.
- Confirm what each adult agrees to share and whether the helper and fallback can still find it.
- Review every unresolved action, its owner and date. Record what changed and what remains unconfirmed.
- Reissue dated copies to the agreed recipients and manage superseded copies appropriately.
ClearGauge follow-up or an annual refresh applies only where included in an agreed ongoing service. A once-off review does not provide continuing monitoring.
Part of the wider review.
The Wealth Map shows the family’s financial picture. This index locates selected supporting records. The review action plan sets out matters needing attention. Original documents, provider records and applicable legal authority remain the sources for the underlying arrangements.
A missing record does not by itself establish a need for a new product or a change of provider. Legal drafting, medical decisions, specialist confirmation and implementation require the relevant professional and agreed scope.
